Private Label Cosmetics: From First Inquiry to Delivery — A Step-by-Step Timeline

Private label cosmetics is a structured six-stage process, not a single transaction. Knowing what happens at each stage — and what we need from you — removes the uncertainty first-time buyers feel.

Total typical timeline: 45–80 days from first email to delivered goods. The biggest variable is packaging lead time, not production. Start packaging early or choose stock bottles.

The Private Label Journey: Six Stages from First Email to Delivery

Private label cosmetics is a structured process, not a single purchase. At Huabaotang we walk every brand through six stages: inquiry and requirements, quotation and sampling, confirmation and deposit, mass production, QC and packing, and shipping with documentation. Knowing what happens at each stage — and what we need from you — removes most of the anxiety first-time buyers feel.

Stage 1: Inquiry (Day 0)

The more specific your first message, the faster the quote. Helpful inputs include: product category (serum, cream, shampoo, perfume oil), target market, target retail price, expected first quantity, and whether you have a formula or packaging in mind. If you only have an idea, that is fine — we will match it to a stock formula.

Stage 2: Quotation & Sampling (Days 1–20)

Within 1–3 working days you receive a quotation covering unit price, MOQ, sampling fee, lead time and setup costs. You then order formula samples ($30–$100, credited to production for stock formulas). You test the sample, send feedback, and sign off. Most brands need one or two adjustment rounds.

What shortens this stage:集中反馈 (consolidated feedback in one message) instead of piecemeal changes. Every new round adds 3–5 days.

Stage 3: Confirmation & Deposit (Day 20–25)

Once the sample is approved, we finalize the spec sheet, artwork files and packaging plan. A deposit (commonly 30–50% of order value) confirms the production slot. Artwork files must be print-ready; we can review them before printing to avoid re-runs.

Stage 4: Mass Production (Days 25–50)

Raw materials are batched, produced in the GMPC clean room, and filled into your packaging. Packaging must arrive at the factory before filling starts — this is the #1 cause of delay, so we recommend ordering packaging early or choosing stock bottles.

Stage 5: QC & Packing (Days 50–60)

Every batch passes microbiological testing, stability checks, label accuracy and visual inspection. Finished units are boxed and palletized. We share pre-shipment photos before cargo moves.

Stage 6: Shipping & Documentation (Days 60–80)

We issue the commercial invoice, packing list and certificate of origin. Goods move by sea LCL or air, and your forwarder / importer handles destination clearance. Final balance is typically paid against copy documents before release.

Common Questions from First-Time Brands

Do I need my own formula? No — 70% of our clients start from a validated stock formula and private-label it. Do I need a registered company abroad? For production, no; for import into your market, your local importer handles registration. Can I change the formula after sampling? Minor adjustments are normal; a full re-development restarts the sampling clock.
